Thinking Machines is a technology consultancy building AI & data platforms to solve high impact problems for our client. Our vision is for Southeast Asia to become a global hub for data science. To do that, we create data cultures, one organization at a time.
We’re a company made up of intellectually curious, civic-minded, forever-learning individuals. We believe that great data science products are built with care for people, and that the best way to drive inclusive innovation is to start with a diverse team.
Our field of work is incredibly dynamic, so we want to work with people who are committed to growing with us. We want to hire people who can demonstrate an ability to learn, then provide them with personalized coaching, growth opportunities, and a great working environment to get them to world-class.
We are a data science consultancy seeking an Executive Assistant to join our Singapore Office.
As Executive Assistant, you'll provide high-level administrative support to our CEO, creating organization where needed while ensuring consistent follow-through on all her commitments. Immediate priorities include coordinating and scheduling training sessions for an anchor client and implementing reliable tracking to prevent anything from being overlooked.
You'll also be expected to assist her Chief Of Staff on organization-wide initiatives, manage logistics for CEO Office-run events, and maintain a comprehensive tracking of all CEO commitments and deadlines. We are looking for someone who is up for a challenge and has the initiative to seek out ways to be useful. We move fast, and we expect you to keep up!
The following is an incomplete but representative list of things you can expect to be doing:
Strategic Calendar Management. Partner with the Chief of Staff to optimize our CEO's schedule, balancing competing demands while ensuring her time allocation reflects company priorities and maintains essential flexibility.
Information Processing and Action Tracking. Use AI tools to capture important insights from meetings, turn conversations into clear next steps, and maintain accountability by tracking action items across teams.
Communication Triaging. Be the friendly first point of contact for our CEO, handle calls and emails with care, and make smart decisions about triaging inbound and outbound CEO communications.
Executive Task Coordination. Stay on top of the CEO's to-do list, arrange hassle-free travel or meeting logistics, research on leads, and create simple systems so nothing slips through the cracks.
